RecruitBoard is a Discord recruitment and support ticket management platform developed by Reaper and powered by 24 Play. This policy explains what information may be handled when you visit the website, sign in with Discord, submit an application, or use a support ticket.
Important: Discord server owners and administrators configure their own recruitment forms and ticket departments and may have access to information submitted through their server.
1. Information we process
- Discord account information: Discord user ID, username and information made available through the Discord sign-in permissions you approve, including servers you can manage.
- Server configuration: Discord server IDs, channel IDs, role IDs, application form settings, ticket panel settings and server invitation links provided by administrators.
- Recruitment information: answers to application questions, submission status, staff decisions and related activity.
- Support tickets: ticket IDs, member IDs, channel IDs, ticket status and messages or attachments shared in Discord ticket channels where the bot needs to process them.
- Operational and security information: authentication session data, administrative activity logs and technical information needed to diagnose errors and protect the service.
2. How information is used
We use this information to authenticate users, show the servers they are authorised to manage, operate recruitment forms and support tickets, synchronise settings with the Discord bot, apply access restrictions, maintain audit records, troubleshoot problems and protect the platform.
3. Discord and server administrators
RecruitBoard integrates with Discord. Your use of Discord is also governed by Discord's Privacy Policy. Server owners and authorised staff may view applications and support tickets associated with their server. The server administrator determines which staff roles have access and which questions are asked.
4. Ticket transcripts and deletion
When an authorised administrator deletes a support ticket using the bot, RecruitBoard attempts to send the ticket opener a transcript by Discord direct message before deleting the ticket channel and its associated bot ticket record. Transcript files may contain messages and links to attachments. Copies retained by the recipient or Discord are outside RecruitBoard's direct control.
5. Sharing of information
Information is shared with Discord as needed to provide bot and sign-in functionality and with authorised server administrators and staff for the relevant server. Service infrastructure providers may process data as needed to host and operate RecruitBoard. We do not sell personal information.
6. Data storage and retention
RecruitBoard uses website databases and bot storage to operate the service. Information is retained while needed for its intended function, security, record-keeping or applicable legal obligations. Removing a Discord ticket does not necessarily remove application submissions, audit records, Discord-held messages or copies of transcripts held by others. Retention and deletion requests are reviewed in light of the data involved and applicable requirements.
7. Cookies and sessions
The website uses essential session functionality to keep users signed in and protect account actions. We do not describe optional analytics or advertising cookies here because their use must be separately disclosed if enabled.
8. Security
RecruitBoard uses authentication, access controls and server-specific permissions to help protect information. No online system can guarantee absolute security. Please avoid including passwords, access tokens or other unnecessary sensitive information in applications or tickets.
9. Your privacy rights
Depending on applicable law, you may have rights to request access to, correction of, deletion of, or restriction of processing of your personal data, and to object to certain processing. You may also have a right to complain to the UK Information Commissioner's Office (ICO).
To make a privacy request, contact the RecruitBoard team through the official RecruitBoard Discord support system. Include enough detail to identify the relevant server or account, but do not post sensitive identity documents in public channels.
10. Children and age requirements
RecruitBoard is intended for users who meet Discord's applicable minimum age requirements. Server administrators should not request unnecessary personal information from applicants or support users.
11. Updates to this policy
We may update this policy when RecruitBoard's features, data practices or legal obligations change. The effective date above will be updated when a revised policy is published.
